Job Purpose
The Retail Administrator is responsible for handling data accurately and ensuring the store system runs efficiently. This includes stock management, sales administration, and staff-related processes.
Qualifications & Experience
- Minimum Qualification: Grade 12 / Matric
- Experience:
- 1–2 years in a retail environment
- MS Office proficiency, especially MS Excel (Beginner – Intermediate)
- Previous experience with stock handling systems
Knowledge & Skills Required
- Customer service and stock management
- FIFO (First-In-First-Out) principle and product knowledge
- English proficiency (reading, writing, and speaking)
- Strong administration and computer literacy
- Time management and organizational skills
- Ability to work in cold environments
- Attention to detail for stocktaking and accuracy
- Ability to communicate effectively with customers, suppliers, and management
Key Responsibilities
1. Data Handling
- Conduct stock takes by comparing Stock on Hand (SOH) reports with physical stock
- Receive, capture, credit, and transfer stock continuously
2. Stock Knowledge
- Maintain extensive knowledge of company products for accurate system handling
3. Month-End Processes
- Ensure month-end reports are accurate and up to date, with no negative stock lines
4. Administration
- Maintain and organize invoice filing
- Track and follow up on invoices and credit notes with suppliers
- Perform daily and weekly reconciliation of statements
- Handle stocktake, sales reporting, and other retail administration duties
5. Team & Management Support
- Engage regularly with merchandisers for physical stock counts
- Report daily to the Retail Manager and Assistant Manager
- Ensure adherence to company standards and procedures
