Job Purpose
The Receptionist is the first point of contact for the company, responsible for welcoming guests and coordinating front-desk activities, including handling calls, correspondence, and administrative support.
Qualifications & Experience
- Minimum Qualification: Grade 12
- Advantageous: Additional certification in Office Management
- Experience:
- Previous experience as a Receptionist, Front-Office Representative, or similar role
- Proficiency in Microsoft Office
Knowledge & Skills Required
- Experience with office equipment (e.g., printers)
- Familiarity with phone systems and switchboard operations
- Professional attitude and appearance
- Strong organizational and multitasking skills
- Ability to work under pressure
- Strong verbal and written communication skills
- Customer service focus
Key Responsibilities
1. Answering and Screening Calls
- Answer, screen, and transfer calls
- Take messages and respond to customer queries
- Update the telephone list monthly
- Operate the company's telecommunication system
2. Handling Customer Complaints
- Contact customers to obtain complaint details
- Log complaints and send reports to relevant parties
- Arrange replacement stock and provide feedback
- Process E-wallet payments for customers
3. Ordering Office Supplies
- Manage office stationery and cleaning supply orders
- Order business and store cards for staff
4. Welcoming Guests/Visitors
- Greet, direct, and offer refreshments to guests
- Accept and distribute courier parcels
- Provide guest Wi-Fi passwords as needed
5. General Administrative Support
- Assist all departments with administrative tasks
- Perform clerical duties such as filing, photocopying, and faxing
- Maintain a clean and organized reception area
- Capture and upload the COVID-19 attendance register daily
