Job Description:
Hyundai Midrand is seeking a Warranty Clerk to join the team. The role requires an individual who can efficiently handle the submission of warranty claims in line with company policies and Hyundai Automotive South Africa (HASA) standards. The Warranty Clerk plays a key role in building customer trust by ensuring accurate and professional services.
Key Responsibilities:
Documentation and Data Validation:
- Verify all vehicle details on documentation before data input.
- Review job cards for car shop, paint, and panel services before costing.
Claim Processing:
- Ensure the use of correct damage codes on all claims.
- Expedite resolution of claim queries and process paint shop claims.
- Maintain close communication with HASA warranty claims department for smooth processing.
Parts Management:
- Keep the parts claim store secure, clean, and orderly.
- Tag warranty parts correctly and send prescribed parts to suppliers promptly.
- Follow up on back-ordered parts and ensure customers return for pending repairs.
Job Card and Invoicing:
- Reconcile all warranty job cards, invoices, and claim forms with a warranty register.
- Submit warranty claim forms and invoices to HASA within 7 days of repair completion.
- Ensure job cards are costed and invoiced as soon as repairs are finalized.
Compliance and Reporting:
- Adhere to warranty policy guidelines at all times.
- Destroy failed parts as per policy or send them to HASA for inspection if required.
- Maintain accurate warranty filing by chassis number and report parts over 30 days for incentives.
Customer Service:
- Obtain customer signatures on warranty job cards and invoices.
- Provide ongoing updates to customers regarding warranty parts and repairs.
Additional Duties:
- Perform reasonable tasks assigned by management outside of the standard job description.
Qualifications and Experience:
Education:
- Grade 12 (Matric) is required.
Experience:
- At least 2 years of experience in a similar role is preferred.
Skills and Personal Attributes:
- Strong attention to detail.
- Effective communication skills.
- Previous experience in a warranty or similar administrative role.
- Ability to work independently and manage multiple tasks.
