Job Title: Delivery Debriefing Officer

Purpose of the Job:
The primary purpose of this role is to ensure that delivery trip sheets, proof of delivery (POD) documents, and drivers are debriefed in accordance with company procedures. The role also involves reporting any driver incidents or accidents to the Branch/Operations Manager, as well as reporting vehicle damages to the dedicated distribution manager to maintain operational efficiency and safety standards.
Key Responsibilities:
Operational Responsibilities:
- Driver Debriefing: Debrief drivers after each delivery to ensure all details are captured and discrepancies are addressed.
- Trip Sheet Verification: Cross-check the trip sheet with tracking data to identify any unscheduled stops and ensure all data is accurate.
- Vehicle Key Management: Receive vehicle keys from drivers and ensure proper handling and storage.
- POD Verification: Inspect proof of delivery (POD) documents for any discrepancies such as shortages or errors, and ensure they are properly filed.
- Trackmatic Allocation: Assign and track deliveries through Trackmatic, ensuring accurate records are kept.
- Handheld Device Management: Manage handheld devices used by drivers, ensuring they are in proper working order for seamless operations.
Administrative Responsibilities:
- Preparation of Delivery Paperwork: Prepare the necessary documentation for the following day’s deliveries to ensure smooth operations.
- Collection Assignment: Assign and manage collection tasks and ensure all procedures, including seal-to-seal processes, are followed correctly.
Customer Service Responsibilities:
- Customer Relations: Ensure all debriefing activities meet the required standards to maintain high levels of customer satisfaction and operational efficiency.
Minimum Requirements:
- Education: Grade 12 (Matric).
- Computer Literacy: Proficiency in MS Word, Excel, Outlook, and other relevant software applications.
- Geographical Knowledge: Sound local geographical knowledge to assist in route planning and understanding delivery locations.
- Communication Skills: Strong written and oral communication skills to effectively relay information and resolve issues.
Skills Required:
- Administrative Competence: Ability to complete necessary forms and administrative procedures using the available systems and resources.
- Communication: Excellent communication skills for both internal team collaboration and customer interactions.
- Attention to Detail: Strong attention to detail to ensure the accuracy of documentation and debriefing activities.
