Job Purpose
To create a professional and welcoming reception experience for visitors, clients, and employees, ensuring smooth communication and efficient administrative support.


Minimum Qualifications

  • Secretarial or Office Administration diploma, or an equivalent qualification.


Experience and Skills Required

  • At least 3 years' experience handling a busy corporate switchboard.

  • Proficiency in Google Suite or Microsoft Office (especially Word and Excel).

  • Excellent spoken and written English; a second official language is an advantage.

  • Strong telephone etiquette and interpersonal communication skills.

  • Friendly, service-oriented attitude with excellent people skills.

  • Able to manage multiple tasks and work under pressure.

  • Good time management and organizational abilities.

  • Professional appearance and behavior at all times.

  • High level of discretion with confidential information.

  • Able to communicate effectively at all levels.

  • Able to work independently and take initiative.


Key Responsibilities

  • Answer and direct all incoming calls via the switchboard.

  • Greet and assist visitors, creating a positive first impression.

  • Maintain a clean, welcoming reception area.

  • Schedule appointments, meetings, and manage room bookings.

  • Perform administrative tasks: mail handling, deliveries, office supply management.

  • Build and maintain relationships with staff, visitors, and clients.

  • Monitor office equipment (phones, printers) to ensure proper functioning.

  • Collaborate with departments for smooth internal communication.
