Job Purpose
To create a professional and welcoming reception experience for visitors, clients, and employees, ensuring smooth communication and efficient administrative support.
Minimum Qualifications

Secretarial or Office Administration diploma, or an equivalent qualification.
Experience and Skills Required

At least 3 years' experience handling a busy corporate switchboard.

Proficiency in Google Suite or Microsoft Office (especially Word and Excel).

Excellent spoken and written English; a second official language is an advantage.

Strong telephone etiquette and interpersonal communication skills.

Friendly, service-oriented attitude with excellent people skills.

Able to manage multiple tasks and work under pressure.

Good time management and organizational abilities.

Key Responsibilities

Answer and direct all incoming calls via the switchboard.

Greet and assist visitors, creating a positive first impression.

Maintain a clean, welcoming reception area.

Schedule appointments, meetings, and manage room bookings.

Perform administrative tasks: mail handling, deliveries, office supply management.

Build and maintain relationships with staff, visitors, and clients.

Monitor office equipment (phones, printers) to ensure proper functioning.

Collaborate with departments for smooth internal communication.
