Job Purpose

To ensure accurate processing, capturing, and filing of documents for all customers in line with BidvestIL’s Standard Operating Procedures. The role involves finance-related administrative tasks, inventory reporting, and effective communication with clients and internal teams.


Qualifications & Experience

Education:

  • Matric (Grade 12)

Experience:

  • 1–2 years in an administrative role (warehousing experience is an advantage)

  • Strong accounting and administration skills with high attention to detail

  • Customer service experience

  • Familiarity with ISO and OHSAS systems

  • Experience with Warehouse Management Systems (WMS), particularly CW1 or ISC, is advantageous

  • Knowledge of hazardous chemicals and safety environments


Key Responsibilities

Planning & Organising:

  • Ensure timely and accurate processing of incoming and outgoing documentation

  • Maintain proper filing systems for all documents

Receipts:

  • Receive and process documentation (MSDS, Packing Lists, Delivery Notes, etc.)

  • Capture and finalize receipts in CW1

  • Communicate and send ASN documents to clients

  • Maintain daily scan and filing routines

Despatches:

  • Validate dispatch documentation

  • Enter dispatch details into CW1 or ISC

  • Generate picking slips, monitor picking, and reconcile with delivery notes

  • Notify relevant parties of any discrepancies

Billing:

  • Update billing records daily for both receipts and dispatches

Inventory Management:

  • Maintain and update stock reports daily

  • Investigate variances and communicate them to clients and management

  • Conduct regular cycle and stock counts, especially with Huawei staff

  • Ensure documentation is accurate, complete, and well filed

WMS Maintenance:

  • Execute timely bin-to-bin transfers and updates in the system

  • Maintain accuracy in item management and grouping
