Overview:
This position plays a critical role in supporting workshop operations by handling all administrative tasks efficiently. It involves overseeing warranty and maintenance claims, job card processing, sublet orders, and job costing. The ideal candidate will be detail-oriented, experienced in workshop admin functions, and capable of working under pressure in a service environment.
Key Responsibilities:
Warranty & Maintenance Claims:

Submit claims timeously as per procedures

Maintain zero rejection rate
-
Handle parts disposal and ensure correct labeling
-
Keep complete and accurate records (job cards, photos, invoices, reports)
Job Card Management:
-
Open and process job cards for repairs and servicing
-
Record vehicle and service details (e.g., registration, faults)
-
Allocate job cards to the correct accounts (warranty, customer, maintenance)
-
Ensure all job cards are signed off by relevant personnel
Outwork / Sublet Orders:
-
Maintain daily WIP control and follow-ups
-
Ensure job cards are accurately completed and signed by all necessary parties

Track work done, times, and failure causes
Job Costing:
-
Record work descriptions, parts, labour (VST codes), sundries, etc.

Print and submit invoices for approval

Issue gate passes upon payment confirmation
Qualifications and Experience Required:
-
Matric / N3 or equivalent
-
At least 4 years' experience in a similar administrative role

Computer literacy essential

Experience with SAP or GDS Fusion systems preferred
