Purpose of the Role
To support a Senior Vice President (SVP) or Vice President (VP) by providing comprehensive administrative, secretarial, and logistical support. The role ensures smooth day-to-day operations, effective calendar and email management, and coordination of meetings, travel, and internal communications.
Key Responsibilities
Calendar & Diary Management

Coordinate and schedule critical meetings

Resolve scheduling conflicts proactively

Book venues and manage access and visitor logistics
Communication & Correspondence
-
Serve as the first point of contact

Draft and proofread letters, agendas, memos, reports, and minutes

Represent the company professionally via calls and in-person interaction
Travel & Logistics
-
Organise local and international travel
-
Arrange visas, accommodation, car hire, currency, and international roaming
Reporting & Budgeting

Reconcile data and expenses
-
Prepare and analyse budget and trend reports
Documentation & Office Management

Maintain both digital and physical filing systems

Manage stationery and office supplies

Support other Personal Assistants as needed
Minimum Qualifications
-
Education: High School Diploma or equivalent

Experience: Minimum 3 years of relevant administrative or personal assistant experience
