JOB PURPOSE

To provide comprehensive administrative support to the Client Services and Projects unit within the Provincial Office. The role ensures effective office operations, superior client service delivery, and contributes to the overall strategic execution of the CETA.


KEY RESPONSIBILITIES

  • Provide administrative duties including managing calls, emails, and correspondence.

  • Assist Head: Client Services and Projects in prioritising provincial tasks and opportunities.

  • Maintain and update the provincial annual meetings planner.

  • Attend and minute meetings; compile decision registers and follow up on action items.

  • Draft professional correspondence, reports, and memos.

  • Organise meetings, workshops, and events including logistics and materials.

  • Attend key meetings on behalf of the manager and follow up on deliverables.

  • Assist in formulating presentations and business reports.

  • Manage a portfolio of stakeholder relationships in support of the business unit.

  • Manage and maintain an accurate inventory of office supplies.

  • Submit accurate monthly reports and performance updates.

  • Ensure regular data backup in line with ICT policies.

  • Participate in risk, compliance, fraud prevention, and ethics workshops.

  • Build and maintain interdepartmental relationships.

  • Respond to stakeholder and internal queries effectively and escalate when necessary.

  • Present business cases and updates to relevant stakeholders when required.


MINIMUM REQUIREMENTS

Education:

  • NQF Level 6 Diploma in Office Management, Business Administration, Communications, or Generic Management.

  • A Project Management qualification will be an added advantage.

Experience:

  • Minimum 3 years administrative experience.

  • At least 2 years within the ETD (Education, Training and Development) sector or public entities.

  • Experience in the construction sector will be beneficial.

REMUNERATION AND BENEFITS

  • Negotiable basic salary plus benefits package in accordance with the CETA Remuneration Policy.

  • Long-term appointment linked to the CETA licence and subject to performance per CETA’s Performance Management Policy.
