About the Role
We are seeking an experienced Administrator to join our team in Parow. The Administrator will oversee documentation processes, manage timekeeping, and support the Contract Manager. This role involves maintaining accurate records, ensuring sufficient stock levels, and supporting training initiatives. Tsebo Solutions Group specializes in Integrated Workplace Management Solutions, focusing on Catering, Facilities Management, Cleaning, Hygiene, Pest Control, and more.
Duties & Responsibilities
Administrative Tasks:
- Act promptly to any client requests and handle them proactively.
- Train and enroll new cleaning staff.
- Update daily communication channels regarding staffing and absenteeism.
- Assist in the induction of new recruits and maintain staff uniforms.
- Schedule online training and ensure participation.
- Distribute payslips to staff and keep monthly consumable files updated.
- Manage and place orders for consumables, ensuring consistent stock levels.
- Maintain unit files and notice boards according to Tsebo’s policies and procedures.
Communication:
- Coordinate official meetings and distribute company information to staff.
- Keep line management informed about contract-related issues.
Labour Management:
- Assist with payroll management and check CTCs to prevent pay discrepancies.
- Send termination documents to the CABS Administrator and ensure terminated employees receive their exit documents (UI19).
General Responsibilities:
- Uphold high morale and motivation through effective communication.
- Attend meetings, training sessions, and conferences as required.
- Maintain high standards of stock management, using the updated stock management app to provide reports to clients.
- Manage and maintain cell phone controls.
Skills and Competencies
- Computer Skills: Proficiency in MS Office (Excel at an advanced level is advantageous).
- Strong financial background and data capturing skills.
- Experience in stock management and timekeeping.
- Leadership skills and attention to detail.
- Problem-solving experience and the ability to work under pressure.
- Flexibility, adaptability, and the ability to work independently.
- Effective communication skills.
Qualifications
- Minimum: Matric (Grade 12).
- Experience: 1-3 years of experience in a similar environment.
- Solid administrative skills and proficiency in MS Office/Outlook.
- Cleaning Supervisory experience with strong administration skills is advantageous.
- PRP and payroll experience are essential.
- Experience in stock management is highly advantageous.
