Job Overview
The Office Administrator position is an integral role at the Witbank Insurance Office, directly supporting efficient operations and smooth client interactions. Reporting to the Client Service Champion, the successful candidate will be responsible for general office duties, ensuring all administrative tasks are handled promptly and professionally. This position calls for a highly organized individual with strong multitasking skills, as well as the ability to interact with clients and colleagues in a courteous and effective manner.
Key Responsibilities
- Reception and Switchboard Operation: Manage front-desk responsibilities, greeting clients, and handling incoming calls on the switchboard to ensure prompt and courteous communication.
- Typing and Record-Keeping: Maintain accurate records and perform typing tasks to support the team with essential documentation.
- Client Services: Provide friendly and efficient service to clients, answering queries and assisting with document handling.
- Data Input and Document Scanning: Accurately enter data into relevant systems and scan documents to maintain organized digital records.
- General Office Duties: Complete various office tasks to support daily operations, including maintaining supplies and organization.
- Handling Petty Cash: Responsible for handling petty cash, including accurate tracking and record-keeping to ensure proper financial management.
Job Requirements
- Educational Qualification: Minimum Grade 12 certificate.
- Experience: 1-2 years of office administration experience is preferred and will provide a definite advantage.
- Technical Skills: Proficiency in MS Word, Excel, and Word Perfect; must be comfortable with basic data entry and electronic filing.
- Communication Skills: Ability to communicate effectively in English, both verbally and in writing, to interact with clients and team members professionally.
