Job Overview

Spec-Savers Makhado Crossing Mall is looking for a friendly, professional and customer-focused Frontliner to join its team in Louis Trichardt.

As the first point of contact for patients, the Frontliner plays an important role in creating a welcoming and professional environment. The successful candidate will assist with patient reception, appointment scheduling, customer enquiries, administrative duties, optical product assistance, payments and general practice support.

This role is ideal for someone who enjoys working with people, has excellent communication skills and can remain organised and professional in a fast-paced retail and healthcare environment.

Minimum Requirements

Education & Experience

  • Grade 12 / Matric or equivalent.

  • Previous experience in customer service, reception or administration.

  • Experience in an optometry, medical or retail environment will be advantageous.

  • Fluent in English and Afrikaans.

  • Willingness to work flexible hours, including weekends when required.

  • Knowledge of optical products and medical aid procedures will be advantageous.

  • Proactive attitude and willingness to learn.

Duties & Responsibilities

Patient Reception & Customer Service

  • Greet and welcome patients in a friendly and professional manner.

  • Assist patients with check-in procedures.

  • Ensure patients are comfortable while waiting for appointments.

  • Respond to patient enquiries regarding services, products and procedures.

  • Maintain a positive and welcoming reception environment.

Appointment Scheduling & Management

  • Schedule and manage patient appointments.

  • Ensure appointment schedules are accurate and run smoothly.

  • Confirm and remind patients of upcoming appointments.

  • Coordinate appointment rescheduling and cancellations.

  • Communicate appointment-related information clearly to patients.

Administrative Support

  • Maintain and update patient records accurately.

  • Ensure patient information is handled confidentially.

  • Assist with insurance and medical aid verification.

  • Assist with processing claims.

  • Perform filing, data capturing and general administrative duties.

  • Organise and maintain patient documentation.

Optical Product Assistance

  • Assist patients with selecting suitable eyewear.

  • Provide guidance on frame styles and lens options.

  • Explain available optical products and services.

  • Assist customers with product-related enquiries.

  • Monitor stock levels and assist with stock management.

  • Ensure product displays are neat, tidy and well organised.

Billing & Payments

  • Process payments for services and optical products.

  • Handle cash and card payments accurately.

  • Assist with medical aid-related payments and claims.

  • Respond to patient enquiries regarding billing and payments.

  • Resolve or escalate billing-related queries when required.

Coordination & Communication

  • Work closely with optometrists and other practice staff.

  • Support the team in delivering a seamless patient experience.

  • Communicate appointment reminders and follow-up information to patients.

  • Inform customers about relevant promotions and services.

  • Maintain professional communication with patients and colleagues.

General Practice Support

  • Maintain a clean, organised and professional reception area.

  • Keep the patient waiting area neat and welcoming.

  • Ensure required materials and supplies are available.

  • Assist with the smooth day-to-day operation of the practice.

  • Perform additional duties as required to support the practice.
