Purpose of the Role
To serve as the first point of contact for visitors, clients, and employees by providing a professional and welcoming front-office experience and supporting administrative functions.

Key Responsibilities

  • Visitor and Switchboard Management:

    • Welcome and assist all visitors.

    • Handle and route phone calls professionally.

    • Take messages and ensure prompt follow-up.

  • Scheduling and Coordination:

    • Book meeting rooms and manage appointment schedules.

    • Maintain departmental or executive calendars.

    • Coordinate logistics for internal meetings.

  • Mail and Administrative Support:

    • Manage incoming/outgoing mail and courier services.

    • Assist with data entry, filing, and document preparation.

    • Provide clerical support to various departments.

  • Security and Access Control:

    • Maintain visitor logs and issue visitor badges.

    • Ensure adherence to safety and security procedures.

  • Safety Culture:

    • Fully commit to Weir’s zero-harm safety behaviors and safety-first culture.


Job Requirements

Education:

  • Matric (Grade 12)

  • Preferred: Diploma or certificate in Office Administration, Business Administration, Secretarial Studies, or a related field

Experience:

  • 3 to 5 years in:

    • Reception

    • Office administration

    • Personal assistant roles

  • Strong skills in:

    • Diary/Calendar management

    • Meeting coordination

    • Handling confidential information

Technical Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
