Purpose of the Job
To provide high-level administrative and secretarial support to a team of managers within the Engineering division. This role is essential in ensuring smooth operations, effective time management, and procedural efficiency across the team.
Key Responsibilities

Deliver general administrative and clerical support to enhance team efficiency

Manage diaries and scheduling for eight managers
-
Prepare documents, reports, and presentations using Microsoft Office and Office365 tools
-
Take minutes in meetings and distribute them appropriately
-
Book meeting venues and ensure readiness prior to meetings
-
Maintain effective paper and electronic filing systems
-
Sort, distribute, and dispatch mail and official documents
-
Load purchase requisitions (PRs), track invoices, and monitor payments
-
Control inventory and purchase of office supplies within budget limits
-
Support procurement and logistics for team activities
-
Operate with a degree of independence within standardised procedures
Skills and Technology Required

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Access)

Working knowledge of Office365 applications (Power BI, SharePoint)

Qualifications
