Role Purpose:

To provide high-level administrative and operational support to 4 Executives at OM Bank. This role involves managing calendars, preparing reports, organizing events, and ensuring optimal efficiency in executive workflows — contributing to the bank’s purpose of enabling African prosperity.


Key Responsibilities:

Executive Support & Administration

  • Schedule meetings, appointments, and travel itineraries for executives

  • Take and prepare minutes of meetings, track follow-ups

  • Prepare correspondence, documentation, reports, and presentations

  • Maintain filing systems, databases, and task lists

  • Handle sensitive information with strict confidentiality

Data Management & Reporting

  • Collect, compile, and analyze data for standard reporting

  • Support budget tracking and financial document management

  • Use tools like Microsoft Office Suite and internal systems to produce reports

Office & Workflow Management

  • Independently manage personal monthly schedule and prioritize executive tasks

  • Support simple procurement processes and documentation

  • Ensure compliance with OM Bank’s operational procedures and regulatory codes

Travel & Event Coordination

  • Book travel and accommodation for executives and team members

  • Assist in planning internal and external business meetings/events


Role Requirements:

  • Minimum Experience:

    • At least 3 years supporting senior management in a similar capacity

  • Qualifications:

    • Relevant qualification (Secretarial/Admin/Business) – Advantageous

    • Training in minute taking and advanced diary managementPreferred

  • Skills & Competencies:

    • Diary & calendar management

    • Excellent communication (written and verbal)

    • Strong data reporting, analysis, and Microsoft Office skills

    • Budget monitoring and basic financial acumen

    • Discretion, professionalism, and organizational excellence
