Purpose of the Role:
To provide high-level administrative, clerical, and executive support to the Commercial division. The role ensures smooth day-to-day functioning of the division, manages communication and coordination, and supports project and governance initiatives. The successful candidate will work independently, anticipate needs, and proactively improve processes and systems in support of strategic objectives.
Key Responsibilities:
🔹 Administrative Support

Manage daily administrative tasks for the Commercial division

Schedule and manage executive diaries and appointments
-
Coordinate meetings: book venues, prepare materials, arrange catering and access
-
Screen calls, emails, and correspondence for the executive office
-
Maintain filing systems and records
🔹 Financial & Governance
-
Assist with budgets, reports, purchase orders, and invoice processing
-
Capture journal entries and prepare accruals
-
Ensure adherence to internal governance standards and the PFMA
-
Support financial recordkeeping and reporting
🔹 Project Support
-
Coordinate projects, manage timelines, resources, and documentation
-
Ensure delivery of high-quality outputs aligned with scope and budget
-
Track project deliverables and governance compliance
🔹 Operational Coordination
-
Arrange local and international travel (flights, accommodation, car rental, visas)
-
Track management team leave, timecards, and performance documents
-
Assist with onboarding logistics: IT equipment, workspace setup
🔹 Communication & Documentation
-
Prepare reports, presentations, business documents, and board submissions

Handle internal and external communication professionally and promptly
-
Draft and manage formal correspondence and meeting minutes
Minimum Qualifications & Experience:
-
Grade 12 (Matric) – NQF Level 4
-
Diploma in Secretarial or Business Management – NQF Level 6 (essential)
-
Bachelor’s Degree in a relevant field (advantageous)
-
5+ years’ experience in senior administrative/secretarial roles
-
Experience in the airline industry is a plus
